How to Get Proof of Address Approved for Business Verification
Proof of Address (POA) is the single document that decides whether your business verification clears or stalls. Stripe, PayPal, Wise, Payoneer, Mercury, Tide, and Revolut Business all run the same underlying KYC checks, and they reject more applications over POA than over identity, business model, or banking combined. This guide shows you exactly how to get POA approved the first time.
What counts as a valid Proof of Address. Acceptable POA documents are issued by a regulated institution, dated within the last 3 months, and display your full legal name (or registered company name) alongside the full address. The strongest options are: a bank statement from a brick-and-mortar bank, a utility bill (electricity, gas, water, broadband), a council tax or property tax bill, a government-issued letter (HMRC, IRS, state tax authority), and a signed commercial lease.
What does NOT count. Mobile-only wallet statements (Easypaisa, JazzCash, Nayapay), screenshots of online banking dashboards, handwritten letters, delivery receipts, mobile phone bills from prepaid carriers, and PO Box addresses are routinely rejected. Most processors silently flag the account instead of telling you why.
Before you upload: the 5-point pre-submission check. 1) Document is dated within 90 days. 2) Full name on POA matches your government ID character-for-character. 3) Full address on POA matches the address you entered into the platform character-for-character. 4) The scan is a full-page colour PDF or high-resolution photo, never cropped, never grayscale. 5) The issuing institution is recognisable and verifiable online.
Address consistency is everything. A single character difference between the address on your passport, your business registration, and your POA will trigger rejection. Standardise the address (including punctuation, abbreviations, postcode format) across every document before you submit anything anywhere.
Platform-specific notes. Stripe wants a US-based POA for US LLCs and a UK-based POA for UK LTDs. Wise requires POA in the same country as the receiving currency details you're trying to unlock. PayPal often accepts personal POA for sole accounts but demands company-name POA for business accounts. Mercury, Tide, and Revolut Business all require POA tied to the registered company address.
If you've already been rejected. Do not re-upload the same document. The platform-level flag persists and repeat submissions get auto-declined. The correct fix is to open a manual verification ticket with a fresh, fully compliant document set and a short cover note explaining the address standardisation. Spark Digital resolves most POA blocks within 5–10 business days using this process.
FAQ: Can I use my home address as company POA? For single-member LLCs and sole director LTDs, yes, provided you can supply a utility bill or bank statement in your name at that address. For multi-member entities or anything customer-facing, use a registered commercial address.
FAQ: Are virtual office documents accepted? Yes, when the provider is a real registered commercial address with mail-handling and issues a signed contract. Generic mail-forwarding services and PO Boxes are not accepted.
FAQ: How fast can Spark Digital get POA approved? Most new submissions clear within 48–72 hours. Previously rejected accounts typically resolve in 5–10 business days through manual verification tickets.
